JOB DESCRIPTION: ADMINISTRATIVE ASSISTANT - GENERAL
REPORTS TO: Pastoral Coordinator
GRADE: 8 (Revised June 2011)
POSITION PURPOSE:
The purpose of this position is to provide administrative support to the Pastoral Coordinator.
MAJOR DUTIES AND RESPONSIBILITIES:
- Prepares letters, forms, inserts, brochures and other correspondence for the parish staff
- Answers phones, greets visitors and assists them as appropriate
- Prepares and processes regular mail and bulk mailings, including purchasing of all necessary postage items
- Assisting vendors /contractors by showing them where to work
- Refers those in need to social agencies when appropriate
- Coordinates the parish compliance and safe environment programs. Maintains accurate database; advises Pastoral Coordinator of required compliance issues.
- Coordinates use of parish facilities as well as Parish Calendar (website and parish office copy). Incumbent oversees the scheduling in an efficient and timely manner for organizations that use the facility. Reports to Pastoral Coordinator prior to making scheduling commitments.
- Sees to other duties as assigned
